Freelancers and small businesses send a few invoices a month and do not need accounting software to do it; they need a document that looks right, calculates right and can be produced without a login. That is this page. The notes below cover what an invoice legally needs in Canada (and roughly elsewhere), the difference between an invoice and a quote, and when a proper accounting tool starts to earn its subscription.
How to use
- Choose Invoice or Quote. The number prefix and the date label change accordingly.
- Enter your details in From (name, address, email, tax number) and the client's in Bill to. Your From block is saved in this browser.
- Set the number, date and due date, and the currency.
- Add line items: description, quantity, rate. Amounts and totals update live.
- Enter the tax name and rate (HST 13 percent in Ontario, GST 5 percent, VAT 20 percent…) and any discount, then write payment terms in Notes.
- Download PDF, or use Print / Save as PDF if your text uses non-Latin characters.
Frequently asked questions
What must an invoice include in Canada?
For CRA purposes an invoice should show your business name, the date, a unique invoice number, the customer's name, a description of what was sold, the amount, the tax charged with your GST/HST registration number (required once you are registered), and payment terms. Sales over 150 dollars must show the customer's name and the tax amount or rate. Provinces with PST or QST have their own lines. The generator's From block is where the registration number goes.
What is the difference between an invoice and a quote?
A quote (or estimate) is an offer: what you will do and what it will cost, valid until a date. An invoice is a request for payment for work done or goods delivered, with a due date. Same layout, different legal meaning; switch modes at the top and the labels change.
Is my invoice data uploaded?
No. The PDF is generated in your browser with an open-source library; nothing is sent to a server. Your From block, tax settings and notes are saved in your browser's local storage so they are prefilled next time. Clearing site data removes them.
Why do some characters show as “?” in the PDF?
The Download PDF button uses the PDF standard Helvetica font, which covers Latin scripts (English, French, Spanish, German and so on) but not Chinese, Arabic, Cyrillic or others. For those, use Print / Save as PDF, which renders through your browser with full font support. The page tells you when a substitution happened.
When should I move to accounting software?
When you need recurring invoices, automatic payment reminders, card or bank payment links, expense tracking, or tax filing from the same records; roughly when you send more than ten invoices a month or have someone else doing the books. Until then, a generated PDF and a spreadsheet of what was sent and paid is a perfectly sound system.
Payment terms that get you paid
State a due date, not just “net 30”. Name the payment methods and give the details (e-transfer address, bank details, a payment link). Charge a deposit on larger projects and invoice milestones rather than one lump at the end. A short, polite late-payment line (“1.5 percent per month on overdue balances”) is legal in Canada if it is on the invoice and rarely needs to be used. And send the invoice the day the work ships; delay on your side becomes delay on theirs.
Numbering and records
Use a sequence you never reuse: INV-2026-001 and up, with quotes on a separate QUO- sequence. Keep every PDF you send; the CRA expects records for six years. If a client disputes a line, issue a credit note and a new invoice rather than editing the old one, so the sequence stays honest.
